Payroll Assistant
This position assists Financial Management Services of The Arc of Northwest Wayne County, supporting individuals with intellectual and developmental disabilities to live as independently as possible. The Payroll Assistant reports directly to the Executive Director and works in cooperation with other Financial Management Staff. (updated November 2020)
Responsibilities
- Direct Support Professionals’ timesheet support
- Works in conjunction with the Program and Services Assistant, processing timesheets for direct support professionals (DSPs), checking for accuracy, entering times into the computer system
- Provides paperwork and orientation directions for new and transferring DSPs
- Works in the electronic visit verification (EVV) system, CareWhen, entering timesheets, keeping updated, accurate information on employers and employees, and entering data
- Works as a liaison between DSPs and The Arc of Northwest Wayne County assisting with using the EVV system, completing trainings, submitting timely paperwork, answering questions and proactively communicating essential information
- Takes phone calls from families and DSPs to assist with completing documentation
- Medicaid Claims
- Works in conjunction with Accounting/Claims Coordinator to enter Medicaid claims for DSPs and staffing agencies into computer systems
- Other Duties
- Assists with Arc NW Financial Management Services where needed including filing, organizing, and training DSPs
- Attends appropriate trainings, workshops, and conferences to obtain information that will expand skills and knowledge base
- Cross train with other positions in The Arc NW Financial Management Services
- Perform all other tasks as assigned

Required Education and Experience
- A minimum of a high school diploma required, some college and/or related work experience preferred
- Experience with Medicaid Claims helpful
- Computer skills, database experience, and an ability to acquire skills with new software required
- Experience with Microsoft Excel
- Must have own method of transportation to and from work
This is a part-time, 24 hours/week position. Days worked are flexible except the first week of the month when claims are due.
